Paladin Fitness – Terms & Conditions
1. Acceptance of Terms
By registering for a Paladin Fitness Racing event (“Event”), you agree to be bound by these Terms & Conditions (“T&Cs”), our Privacy Policy, and all race rules and instructions issued by Paladin Fitness Pty Ltd (“Paladin”, “we”, “our”, “us”).
If you do not agree, do not register.
2. Registration
- Your registration is not complete until payment is received and a confirmation email is issued.
- Registrations may not be resold or transferred outside Paladin’s official transfer process.
- Athletes must be 16+ unless otherwise stated for specific categories.
- If under 18, parent or guardian consent is required.
3. Athlete Responsibilities
You acknowledge that:
- Participation in physical competition carries inherent risks.
- You are medically fit and have no condition that may increase the risk of injury.
- You will comply with all event rules, marshal instructions, and safety procedures.
- You will behave respectfully toward staff, volunteers, other athletes, and spectators.
4. Transfers & Changes (Name, Category, Event)
Paladin aims to be fair and flexible while maintaining event integrity and operational certainty. Athlete transfers for the same event must be made via the Race Roster athlete portal.
4.1 Transfer to Another Athlete (Name Change, Same Category)
- Allowed up to 14 days before the event.
- $15 administration fee applies.
- One name-change per registration.
- Original price is locked.
4.2 Transfer to Another Category
Example: doubles to solo
- Allowed up to 14 days before the event, subject to available spots.
- Moving to a higher-priced category: pay the difference based on current sub-event pricing + $15 admin fee.
- Moving to a lower-priced category: the difference is refunded based on current sub-event pricing minus the $15 admin fee.
4.3 Transfer to Another Category and Name Change
Example: Male doubles to mixed doubles
- Allowed up to 14 days before the event, subject to available spots.
- Moving to a higher-priced category: pay the difference based on current sub-event pricing + $15 admin fee.
4.4 Transfer to Another Event
- All requests must be made via email: admin@paladinfitness.com.au
- Allowed up to 28 days before your event date.
- Transfers permitted within the same calendar season only, unless your event is the final race of the season, in which case you may roll over once to the first race of the next season.
- Transfers are subject to availability in the target event.
- Each registration may be transferred once only.
- Transfer fees: 15% of race entry fee paid.
4.5 Ineligible Registrations
The following cannot be transferred, changed, or refunded:
- Entries purchased using promotional codes, giveaway codes, or significant discounts.
- Registrations that have already been transferred once.
5. Withdrawals & Refunds (If You Can No Longer Participate)
- Requests must be emailed to admin@paladinfitness.com.au.
Refund scale
- 4+ weeks before the event: 75% refund.
- 2–4 weeks before the event: 50% refund.
- Less than 2 weeks: No refund. A partial credit may be considered only for genuine medical emergencies at Paladin’s absolute discretion.
Refunds are issued to the original payment method unless otherwise required by your bank.
6. Cancellations by Paladin Fitness
6.1 Weather or Force Majeure Events
- If a race is cancelled due to weather conditions (storms, rain, high winds, or other Acts of God), or due to government restrictions:
- No refunds will be issued.
- Paladin Fitness Racing will do its best to reschedule where possible.
- By entering the event, you acknowledge and accept this risk.
- All correspondence regarding cancellations must be submitted via email.
6.2 No Compensation for Incidental Costs
- Paladin cannot reimburse travel, accommodation, equipment purchases, or other personal expenses resulting from cancellation or postponement.
7. Event Rules
Athletes must comply with:
- Official race briefing instructions
- Signage and marshal directions
- Category-specific technical rules
- All safety requirements
Paladin reserves the right to disqualify any athlete for:
- Unsportsmanlike conduct
- Course cutting
- Aggressive behaviour
- Ignoring safety instructions
- Competing under another athlete’s name without an official transfer
No refunds are given for disqualification.
8. Media, Photography & Marketing Consent
By attending the event, you consent to the use of your image, likeness, and race results for Paladin’s marketing, media, and promotional purposes without payment.

9. Limitation of Liability
- To the maximum extent permitted by law, Paladin is not liable for injury, loss, damage, or expenses arising from your participation, unless caused by our proven negligence.
- You enter and compete at your own risk.
- Paladin may require athletes to sign a standard event waiver at check-in.
10. Privacy
- Personal information is stored securely and used only for event administration, safety, and communication.
- We do not sell or rent personal data.
11. Amendments to These Terms
Paladin may update these T&Cs from time to time.
If material changes affect upcoming events, registered athletes will be notified and given the option to accept the changes or request a full refund.
